Job Summary:
The Assistant Property Manager plays a key role in the efficient and high-quality operation of Waterman Properties' Class A commercial office buildings. This role involves implementing company policies and procedures to maintain exceptional building operations and financial performance. Working closely with the Property Manager, the Assistant Property Manager helps manage properties in line with annual budgets and fosters positive relationships with tenants and employees.
Essential Job Duties:
• Tenant Relations: Promote and maintain positive relationships with tenants, addressing their requests and issues promptly and courteously.
• Building Inspections: Conduct regular building inspections to ensure Class A operation and appearance.
• Customer Service: Handle incoming calls professionally, providing exceptional customer service.
• Documentation: Keep tenant manuals and building rules up to date and maintain accurate vendor and tenant contact information.
• Compliance: Ensure tenant compliance with leases and track vendor and tenant certificates of insurance.
• Coordination: Schedule and coordinate contractor work, tenant alterations, and special events.
• Tenant Relations Events: Plan and execute tenant relations events such as welcome breakfasts, holiday drives, and tenant socials.
• Communication: Prepare memos and manage correspondence with owners, tenants, vendors, and management.
• Record Keeping: Manage files related to maintenance logs, contracts, construction projects, SOPs and service agreements.
• Office Management: Monitor and procure office supplies, and handle mail and package distribution
• Building Projects: Assist Property Manager in managing and coordinating building projects and monthly maintenance contracts.
• Payroll and Attendance: Assist in processing payroll and maintaining employee attendance records, subject to Property Manager review and union guidelines where applicable.
• Access Control: Manage and monitor the card access system.
Financial:
• Budgeting: Assist in annual budgeting, variance reporting, and reforecasting.
• Monthly Reporting: Assist property manager with monthly financial variances.
• Billing: Execute accurate billing for tenant work orders.
• Accounts Payable/Receivable: Manage accounts payable and receivable, ensuring timely payments and rent collection.
Other Skills/Requirements:
• Experience: [2-5] years in Class A property management, with a strong understanding of building operations and tenant relations.
• Technical Skills: Proficiency in Microsoft Office and Excel; experience with Yardi and Angus is a plus.
• Interpersonal Skills: Excellent verbal and written communication skills.
